Getting fuel scheduled, and what happens after

Placing an order

Send the site address, the product and roughly what you are burning. That is enough to start — the quote form on any page, or a call. If the site is new to us we confirm coverage against the distributors running that county before anything is scheduled, then confirm the drop point and the access route before the first delivery. Established accounts order against a standing schedule and skip all of that.

After you ask for a quote

We check the ZIP against the distributors running your area and tell you plainly what delivery looks like there. Pricing is set off the daily rack, which moves, plus a delivery differential — you see both, with the proposed cadence, before you commit to anything. If a site sits at the edge of the range you hear that then, rather than after an order is placed.

What comes with a delivery

Every drop is metered and closed out with the date, the product, the volume and where it went — to equipment or into on-site storage. Dyed and clear product are documented separately, because the classification is the part that carries penalties if it is wrong. The record is formatted to reconcile against your own job costing without a phone call, and it is what makes off-road gallons defensible.

Changing or canceling a scheduled delivery

Call or email with the site and the date. Standing orders move by cadence — weekly, bi-weekly, monthly, or whatever the account runs on — and a single drop can be moved or skipped without disturbing the schedule behind it. A delivery already routed for that day may be on the vehicle, so tell us as early as you can and we will confirm what is still adjustable.

If you have run short

Say it is unscheduled when you call, and have the ZIP, the product and the volume ready. Tell us anything about site access we would otherwise meet at the gate — credentials, gate hours, a contact on site. Unscheduled runs are covered when a tank draws down early. For a facility that cannot go dark, the useful move is a pre-season arrangement made before hurricane season rather than a call during one.

Do I need an account before the first delivery?
No. The first order and the account setup happen together — we confirm coverage, the drop point and the access route, and the delivery is scheduled off the back of that. What we need from you is the site address, the product and roughly what you are burning.
Can I change the volume on a standing order?
Yes, and most accounts do as a phase ramps up or winds down. Tell us the new figure and the cadence adjusts around it. If consumption is uneven, tank-level triggered replenishment suits better than a fixed volume.
What if nobody is on site when the delivery arrives?
Most deliveries do not need anyone present, provided the drop point and access are already on the account. Where a site needs an escort, a badge or a gate opened, that gets captured before the first delivery so it is not rediscovered on the day.
Can I get copies of past delivery records?
Yes. Ask for the site and the date range and we will send them. The same records support fuel tax reporting and job costing, which is what they are formatted for.
